Our Process for Contracting a Landscape Construction Project:Starting a landscape project can be overwhelming. As landscape professionals we are here to guide you through the processes, keep you informed, and answer your questions every step of the way. We want to make sure you have a positive and satisfying experience which makes you feel confident. As part of keeping you informed, we have provided below a basic outline of how our process works in order to meet and exceed your expectations.
The Initial Contact
When we receive your request by phone, email, or from our website, we will use this opportunity to ask you some questions. To understand the scope of your project we will discuss "hardscapes" such as walkways, patios, driveways, and retaining walls and "softscapes" such as gardens, plants, and trees. During our conversation we will determine a suitable time to meet with you so that we can assess your property and to learn more about you and your lifestyle. It is recommended to have a budget in mind which will help determine how we can best meet your needs within your means.
The Consultation Meeting
A representative from our company will meet with you on-site in order to do a thorough site analysis, listen to your ideas, learn about your lifestyle and how you wish to use your outdoor space, discuss your options, and provide recommendations and pricing. On average the meeting is about an hour but it could go longer depending on your requirements. Typically most projects require a landscape design which can be hand-sketched or computer-generated. A computer-generated design provides a good visual concept of how the end result will look, it takes away most of the guesswork, it allows for revisions to be made before the work has commenced, and it allows for expansion should you decide to change or add other elements to your landscape in the future. At this meeting we will provide you with a price for a computer-generated design based on your requirements.
Upon receiving your request for a computer-generated landscape design we will visit the site in order to take measurements and photos. If you had a renovation done in the past you may have a digital survey of your property done by your architect. This digital survey can help speed up the design process since it provides precise measurements and property line markings. The hardscapes such as walkways, patios, driveways, and retaining walls are designed first. To avoid too many revisions we may wish to review the preliminary hardscape plan with you prior to completing the softscape plan (gardens, plants, trees). When the design is ready we will set up a meeting with you in order to present the design and the landscape proposal.
The Presentation Meeting
At your convenience we will meet with you on-site to present the design and the landscape proposal which outlines the details of the project as well as the pricing. We will go over the plan and walk the property with you so that you can envision your new outdoor living space and so that we can answer all of your questions. Soon after the presentation meeting a member of our team will contact you in order to follow up on your decision and to answer any additional questions you may have.
Once you decide to contract our company to complete your landscape project, we will set up a meeting in order to sign the contract and pick up a deposit cheque. At this time we can discuss any revisions that are required and finalize the landscape design. We will also advise you of the approximate start date of your landscape project.
Confirmation of the Landscape Project Start Date
Prior to the start of your landscape construction project a member of our team will contact you with the project start date. We will arrange to have buried public services located such as hydro, gas, water, cable, and telephone. Private services such as BBQ gas lines, irrigation, pool lines, and pet fencing are the responsibility of the property owner. Water soluble spray paint in various colours will be sprayed on your property to indicate where the different public services are buried. These locates take approximately 1 to 2 weeks to be completed and each buried service is located by different locating companies.
We will confirm with you approximately 24 hours in advance of the start date/time in order for you to make necessary arrangements such as alternate parking, removal of personal items, etc. It is recommended that you are available for consultation during the construction process in the event we come across any unexpected issues such as buried rocks and stumps or if there is a need to make a substitution of materials and plants. Your availability will allow you to make a timely decision regarding any removals and/or substitutions which will lessen or avoid project delays. At commencement of the project we will request an instalment payment as per the contract.
When your landscape project is completed we will provide you with necessary information such as maintenance techniques and watering instructions. We will also request your feedback and take photos of the new landscape. At this time your final invoice will be delivered and we will arrange a meeting to pick up the final payment.

We will also take the time to inform you of the services we provide, our processes, and our commitment.
A member of our team will request an appointment to meet with you on-site in order to walk the property and to review your needs and concerns. After assessing the entire property we will provide you with an estimate, recommendations, and an explanation of our services. The estimate can be provided on-site or sent to you via email. Soon after our meeting, a team member will follow-up with you regarding your decision and to answer any questions you may have.
When you decide to contract our company for your property maintenance needs, we can set up a meeting in order to sign the contract or we can send the contract by email for your acceptance. At that time we will also confirm the start date, invoicing information, and payment options. Our property maintenance division generates monthly invoices for our customers. The invoices are delivered shortly after the last day of the month and the charges reflect the services that were provided in that month. All invoices are due by the end of the following month - Net 30 Days.
